ACCOMMODATION PROCEDURES

ECUST International students can reside in ECUST international student buildings. Currently, there are 3 international students buildings in Xuhui Campus providing students with 3 types of dormitories: single rooms, double rooms and suites （all provided with private bathrooms）. All enrolled international students must log on the online application system and apply for dormitory online. （Website for Reservation: http://apply.ecust.edu.cn）

NOTICES:

1、Dormitories booked online will be reserved for at most 2 weeks from the designated registration date on Admission Notice. Students who don’t register on time should apply by email for a late arrival in advance to get approval. The online reservation will be cancelled if students fail to request for leave or register within the allotted time.

2、If the system is inaccessible, please send email to cie@ecust.edu.cn. CIE will help arrange the room according to your situation.

3、However, please note that the booking might not be successful due to the limited amount of rooms. Therefore, we can’t guarantee rooms for students applying late.

4、Students who fail to have an on-campus dormitory or those who want to house off-campus will have to arrange off-campus housing themselves.

ACCOMMODATION REGISTRATION

ON-CAMPUS ACCOMMODATION REGISTRATION

According to the law of PRC, international students will have to register within 24 hours since check-in with admission notice and passport to get Registration Form of Temporary Residence.

Registration Venue:  Financial Office, College of International Education of ECUST, Room 108, Lizhi.

Working Time: 08:30-11:30，13:30-17:00 （Mon.-Fri.）

OFF-CAMPUS ACCOMMODATION REGISTRATION

International students who live off campus need to register and get the Registration Form for International Students Living off-Campus. You can get the registration form from the Admission Office of CIE in advance. Afterwords, please proceed to the local police station with passport, rent contract, and the mentioned form to make accommodation registration and get the Registration Form of Temporary Residence within 24 hours after moving in （or moving into a new place） by the law of PRC.

Please keep the Registration Form of Temporary Residence safe for residence permit application or visa changing/extending use.

CHECK-IN & CHECK-OUT

CHECK-IN

1、International students who booked on-campus dormitories successfully can check in 3 days before the designated registration day. Please email to cie@ecust.edu.cn if you have any questions.

2、 International students have to pay the accommodation fee and get the receipt with admission notice and passport.

Location: CIA financial Office, Room 108, Lizhi.

3、Please get the room key with receipt at the reception of your dormitory building.

4、Take care of furnishings in your dorm:

    1）Don’t move any furniture or facilities at will.

    2）Use furnishings in rooms properly. Once damaged, the tenant will compensate the properties in full. The compensation lists will be in every room. Please also be mindful of the amount of waste made.

    3）If there are any damaged furnishings, the residents must ask for repairs in time. If there are any delays that cause any damage to private properties, the residents must take full responsibility. Repair applications should be submitted to recipient of each building.

CHECK-OUT

1、 Residents must inform dormitory staff of their departure time in at least 7 days in advance.

2、 Upon check-out, residents must give their key back to the dormitory reception. Residents are required to stay until all check-out procedures are done.

3、 The accommodation reservation system will inform students 14 days before expire date.

P.S.：Students on full scholarships are free of any accommodation fees. The student would only have to get receipt at CIA Financial Office （Room 108, Lizhi）.

PAYMENT & REFUND

International students are required to pre-pay the accommodation fee for at least one semester.

The fee will not be refunded if you leave during the semester. If you do need to check out during the semester for particular reasons, please submit applications to CIA Financial Office （Room 108, Lizhi） at least one week in advance.

RENEWAL

Residents who want to renew the dormitories have to submit applications to CIA financial office （Room 108, Lizhi） 30 days before expire date.

1、Degree students

Degree students must go to CIA financial Office （Room 108, Lizhi） to pay the accommodation fee for next semester at least 7 days before expire date.

2、Advanced study students（including Chinese Language students）

Advanced study students and Chinese Language students should go to CIA admission Office （Room 106, Lizhi） to prolong the length of study and get Application Form of Prolonging Study. The advanced study student would also need to go to the CIA financial Office （Room 108, Lizhi） with the form to pay the accommodation fee for next semester, at least 14 days before expire date.

3. Temporary Accommodation

Expectant graduates can apply for the 7-day temporary Accommodation during the process of leaving school in at least two weeks in advance. Students should apply at CIA financial office （Room 108, Lizhi） and accomplish payment.

REGULATIONS ON RESIDENTS

RULES & NORMS

1、Keep the room tidy and clean all the time; Ventilate the room in order to keep air fresh.

2、Keep the public area clean; Don’t take the public area for private use; No drawing or poster is allowed to be put on the wall.

3、The period between 23:30 to 7:00 is regarded as Quiet Hours of the dormitory. The all-day quiet may be required in the exam week.  

4、Please keep quiet in the dorm. No shouting; no loud music. The volume should be kept in a proper level all the time.

5、No littering outside the window.

6、No smoking or alcohol in the dorm. Alcoholic beverage is allowed only in a small amount.

7、No pets in the dorm, otherwise you’ll be disqualified from being residents of the dorm.

8、Selling goods and service is prohibited in the dormitory building without school’s permit.

9、Please use public washing machines and kitchen properly. Keep them tidy and clean all the time.

SAFETY

Considering students’ safety, dormitory staff will inspect dormitories regularly. Please contact dormitory staff at once in emergency.

1、No inflammable or explosive substances in dorm. No controlled knives in dorm.

2、No fireworks in the dorm.

3、Make sure of safe electrical operation.

4、All equipment which may cause fire easily, such as portable gas stove is prohibited in the dormitory.

5、Don’t use several electric appliances at the same time. No unqualified electric appliances in the dorm.

6、Residents must cook or heat food in the public kitchen provided.

7、No lit candles or fires in the rooms or public areas.

8、Lock the door when you leave room. Take care of your belongings and cashes. School has no responsibility if any incidents happen to them.

9、For security reason, any copy of the keys is prohibited. Any loss must be reported to the dormitory staff at once. New keys are charged for.

10、Smoke detectors and sprinklers are installed for safety. Residents should not damage them.

Visitors

Meeting hour: 8:00—22:00.  The latest time for meeting registration is 21:30.  

1、Guests should be accompanied by hosts all the time.

2、Guests should register for entry at reception.

3、Guests should cancel entering registration with signature before leaving.

4、Guests should not stay overnight in the dormitory.

5、All workers （maintenance men, water deliverer, etc. ） have to register when entering and cancel when leaving.

PUNISHMENT FOR VIOLATING RULES

Those who violate the regulations above will be fined, or be punished by duty service.  Serious violation includes making noises, drinking in the public area, smoking, housing guests and other behaviors that break the rules. Serious violation will subject to cancellation of the qualification to live in the dorm.

NO ILLEGAL ACTIVITIES

1、No producing, storing or  trafficking drugs.

2、No guns, explosive or poisonous articles are allowed.

3、No physiological, psychological, sexual disturbance or racial discrimination is allowed.

4、Gambling is not allowed in the Dormitory.
